About the role

We are looking for a customer success project coordinator to join Mixvoip’s customer success team, the people who make sure everything works smoothly for our customers.
You will be at the center of customer projects, acting as the main point of contact between customers, sales, technical teams, and suppliers.
Your role is to ensure that services are delivered correctly, on time, and in line with customer expectations.
Customer success at Mixvoip is not just about support, it is about ownership, coordination, and building long-term trust with our customers.

What customer success does

Customer success is Mixvoip’s heartbeat. They take a signed quote, whether it’s one SIM card or a 1M € rollout and make it happen.
They kick off projects with sales, bring the right experts together, coordinate technicians, manage planning, handle all communication with the customer, order hardware and licenses, and make sure everything works when it should.
They even do the training, check billing, and follow up after delivery.
This team knows everyone and everything that’s happening: Roadmaps, new products, customer pains, internal wins.
They’re the reason customers stay with us. Some of our products have few unique selling points compared to competitors.

Key responsibilities and tasks

  • Handle customer projects from A-Z.
  • Master KYC checks and validate required information (company registration, ID, SEPA, etc.).
  • Coordinate with sales, technical, and provisioning teams to ensure smooth project execution.
  • Check site surveys, technical reports, and ensure hardware availability from suppliers.
  • Configure and validate SIP Trunks, and our Voxbi cloud PBX-
  • Manage number porting and creation for fixed and mobile lines.
  • Launch and monitor porting requests, internet orders, and service migrations.
  • Schedule technician interventions and coordinate installation dates with customers.
  • Communicate proactively with clients, send confirmations.
  • Handle inbound customer calls.
  • Validate and process supplier invoices.
  • Review quotes and sales emails to verify project type, setup costs, and customer documentation.
  • Manage hardware logistics: ordering, delivery, stock verification, and shipping details.
  • Bill your own projects when done.

What do we need from you?

  • Excellent communication skills in English and French (German or Luxembourgish are strong assets)
  • Curiosity and willingness to learn about the B2B ICT market, services, customers, and products
  • A passion for AI tools, especially for creating videos, images, and presentations
  • A passion for helping people and ensuring customer satisfaction through proactive follow-ups.
  • Strong ability to build trust and long-term relationships with business clients.
  • Comfortable handling customer inquiries via phone, email, and ticketing systems (Zammad).
  • Able to coordinate with technical, sales, and provisioning teams to resolve issues quickly.
  • Organized and structured approach to manage multiple customer projects simultaneously.
  • Confidence to guide customers through setup steps and explain Mixvoip products
  • Willingness to take ownership of projects from start to finish and follow up until completion.
  • Experience with Notion is a plus
  • Flexibility to occasionally handle urgent customer requests outside regular hours (with proper compensation).
